2. What this covers

• The United Discord Bot (slash commands, modules, background jobs)
• The web dashboard at https://united.jxuoy.xyz/dashboard/ (Discord OAuth login)
• Static legal pages hosted on united.jxuoy.xyz

3. Data we process

Depending on which features a server enables, we may process:

• Discord identifiers: user IDs, guild (server) IDs, channel IDs, role IDs, message IDs
• Server configuration: module settings, custom embed/panel texts stored for that guild
• Feature data: e.g. XP/levels, giveaway entries, suggestion content, modmail ticket metadata, starboard links, reminder contents, Twitch usernames configured for alerts, social feed handles
• Dashboard login: Discord OAuth profile basics (user ID, username, avatar hash) and session cookie; guild list used to show servers you can manage where the bot is present
• Technical logs: IP address, timestamp, requested URL in web server logs (security/operation)

We do not sell personal data. We do not use dashboard login for advertising profiles.

4. Purposes & legal bases (GDPR)

• Art. 6 (1)(b) — performing the bot/dashboard service you request (commands, configuration)
• Art. 6 (1)(f) — legitimate interest in secure operation, abuse prevention, and service stability (logs, rate limits)
• Art. 6 (1)(a) — where you voluntarily submit content (e.g. suggestions, modmail) within Discord

5. Storage & retention

Bot configuration and feature data are stored in a database on our server (currently SQLite under our control). Data is kept while the bot remains in the server and the feature needs it. When the bot is removed from a guild, guild-related data is deleted according to our purge process. Web access logs are retained only as long as needed for security and troubleshooting. Dashboard sessions expire (signed cookie; limited lifetime).

6. Recipients / processors

• Discord Inc. — platform where the bot runs; Discord processes data under their own policies
• Hosting provider — server infrastructure for the website, dashboard, and bot process
• Optional integrations you enable (e.g. Twitch, YouTube / TikTok / Instagram fetchers for social/live features) only receive the public identifiers/handles you configure

7. International transfers

Discord and some third-party APIs may process data outside the EU/EEA. Where applicable, transfers rely on the providers’ compliance mechanisms (e.g. standard contractual clauses) as described in their documentation.

8. Your rights

Under GDPR you may request access, rectification, erasure, restriction, data portability, and object to processing based on legitimate interests. You may lodge a complaint with a supervisory authority (in Germany, typically your state data protection authority — e.g. Der Hessische Beauftragte für Datenschutz und Informationsfreiheit if you reside in Hesse).

To exercise rights related to bot data, contact us by e-mail and include your Discord user ID and affected server ID.

9. Children

The bot is intended for Discord communities that follow Discord’s age requirements. We do not knowingly collect data from children outside Discord’s rules.

10. Cookies

The dashboard uses an essential session cookie (united_dash) to keep you logged in after Discord OAuth. It is HttpOnly and Secure. No advertising cookies are used.

11. Changes

We may update this Privacy Policy. The “Last updated” date will change when we do.
